First Reef turned four years of DMs into one list
First Reef throws boat parties and events across South Florida. Their attendees, sponsors and DJs had been reaching them through Instagram DMs since 2022, and each event's attendee list lived in its own file. Crustomer brought all of it into one list the team works from every day.

Before
Every sponsor pitch, DJ booking and guest question came in through Instagram. The history was there, but only one thread at a time.
Attendee lists and ticket buyers for each event sat in their own files. Questions like "who has come out three times?", "who in Fort Lauderdale is into wellness?" or "which brands did we pitch last summer?" meant hours of scrolling.

2,496 attendees, 242 sponsors and brands, 180 DJs and talent, and 10 venues, each with a short summary of who they are, where they live, and whether they're into nightlife (638), wellness (137) or both (262). First Reef's own outreach scripts and clear signals sorted about three in four; AI read the rest for about a third of a cent each.

1,075 people are marked interested. 1,489 never answered and are kept aside as ghosts, so follow-ups go to people who actually replied.

Attendee lists and ticket buyers from 42 events became 7,829 contacts with 9,539 attendances, tagged by where they live (5,375 in South Florida, including 4,128 in the Miami market and 1,790 in Fort Lauderdale), so repeat guests and local regulars stand out.

Sponsors became a pipeline
Sponsor and brand conversations became 279 company profiles, each with its deals, next steps and a timeline of every message.
What the team does now
- Follow-ups shows who to message today: people waiting on a reply, interested guests going cold, and past guests worth a nudge before the next event.
- Sponsor deals move through a pipeline board, and the amount, package and next step can be read straight from a sponsor's emails and DMs.
- Email blasts go to the 3,011 contacts with an email address, and texting reaches the 3,573 with a phone number once it opens.
- Meta ad audiences can be built from the same list and kept up to date every day.
